Summary of Position

Evergreen Mountain Bike Alliance (Evergreen) is seeking a qualified production partner to create a 15-minute documentary film that highlights Evergreen’s efforts to make mountain biking accessible for adaptive riders in Washington State.

Evergreen was awarded funding for this film through the State of Washington Tourism grant, “Rural Tourism & Marketing.” The deadline to complete all work for this project and deliver final assets is December 30, 2025; with the bulk of the work done in Summer and Fall.

Duthie Hill, The Trek at Tehaleh, and the Swan Creek trail system will serve as focal points, showcasing Evergreen’s collaboration with partners to evaluate, modify, and improve trails to meet adaptive mountain biking standards. Through compelling visuals, action, interviews, and stories, the film will educate viewers and celebrate the transformative power of making outdoor recreation accessible for all.

The final film will feature a blend of meaningful interviews, touching stories from local riders, immersive nature footage, adaptive mountain biking in action, and partnerships that bring adaptive trails to life. Supporting materials, such as social media cut-downs and behind-the-scenes content, will amplify the film’s impact.

  1. Raise Awareness: Share the story of advancements in how trail design and technology has made mountain biking available to all riders, including those who need adaptive equipment, powered by Evergreen’s commitment to making Washington the best place to mountain bike for all riders.
  2. Educate: Provide insight into the process of creating accessible trails, from evaluation to execution, as a replicable model.
  3. Inspire Engagement: Showcase personal stories of adaptive riders and the impact of inclusive recreation to inspire more folks to get involved and support Evergreen.
  4. Promote Partnerships: Elevate collaboration efforts with existing stakeholders, and gain support from a wide array of new partners and sponsors.

Deliverables

  • 15 minute (approx.) documentary film
  • Social media cut-downs and trailers

    • (1) 1-min teaser
    • (1) Official Trailer (1-1.5 min)
  • Behind-the-scenes content to engage audiences
    • (4) BTS Reels (15-30 sec)
  • Supporting photography
    • (20) High-res photos to be used in film promotion / thumbnails
  • Weekly status reports and/or virtual meetings will be required.

Production Plan and Timeline

 Pre-Production (April – May 2025):

    • Planning, scripting, partner coordination, and scheduling

Production (June – September 2025):

    • On-location filming at key sites
    • Interviews

Post-Production (September – December 2025):

    • Editing, sound design, and accessibility enhancements
    • V1 delivered by November 1, 2025
    • Up to 4 rounds of revision
    • Final delivered by December 15, 2025

Distribution (March 2026):

    • Online launch, screenings, and social media promotion

Budget

Up to $25,000 total budget.

This includes, but is not limited to:

Proposal Requirements

Interested applicants should provide the following:

  • Portfolio showcasing relevant work, particularly outdoor recreation, mountain biking, or accessibility-focused projects.
  • Proposed approach to meet the project objectives, including a creative concept and technical execution plan.
  • Detailed timeline and milestones aligned with the provided production schedule.
  • Budget breakdown aligned with Evergreen’s budget.
  • References from previous clients.
  • Previous experience working with Evergreen MTB.

Evaluation Criteria

Proposals will be evaluated based on the following:

  • Demonstrated experience and expertise in documentary filmmaking
  • Alignment with the project’s creative and technical goals
  • Ability to work within the proposed budget and timeline
  • Quality of portfolio and references
  • Previous work with Evergreen Mountain Bike Alliance, State of Washington Tourism, and/or related outdoor industry

Impact and Vision

This documentary will position Evergreen Mountain Bike Alliance and the State of Washington as a leader in adaptive outdoor recreation. By showcasing the Trek at Tehaleh trail system and inspiring others to take action, this film will leave a lasting legacy of inclusivity, fostering community connections and promoting accessibility in outdoor spaces nationwide.

Evergreen Mountain Bike Alliance reserves the right to:

  • Accept or reject any or all proposals.
  • Select multiple vendors to complete work described in this proposal.
  • Request additional information from any vendor.
  • Negotiate terms and conditions with the selected vendor. We look forward to receiving your proposals and working together to create an exceptional resource for statewide travel exploration.
  • Contractor must comply with all local, state, and federal laws, as well as Evergreen’s safety policies and environmental best practices.
  • Insurance requirements: The contractor must carry and provide proof of a general liability policy while under contract.

Offer & Agreement

Position:  Documentary Filmmaker (8-month contract)

Location:  Greater Seattle Region; North Bend, Duthie Hill, The Trek at Tehaleh, and the Swan Creek trail system, plus other

Classification:  Independent Contractor: This is not an employee position and does not come with employee benefits. The contractor is responsible for their own taxes, insurance, tools, equipment, and mileage.

Payment Schedule:  Invoices must be submitted monthly; payment is net-30 upon approval of work performed.

Contract Period: April 2025 – December 31, 2025.

Compensation: Flat rate – Up to $25,000
